How do I manage the flow of customers now that we have to follow the rules about Covid?

Flexibility

How are my staff managed in the system? Not all of them work full time.

You add each member of staff separately to the booking system during set up. As you do so you will be asked to enter the hours on each day of the week that they work. You will be asked to add any holidays that they have which are different to the shop holidays you already entered.

You will be asked to confirm that each member of staff can provide each of the services which the shop offers.

Then you go beyond that and add services which that member of staff can offer which are NOT offered already by the shop. To each of these you add the duration and cost. You can create an unlimited number of services, each with a different duration and price and create holiday dates for each member of staff separately including part of day holidays.

You can adjust your staffing at any time as some leave and others join.

How are my bookings shown to me and my staff?

All bookings are shown on a shop calendar with Customer Name and Price. During a busy day at the shop this is the view that will be open by default. You click on each appointment to get more details or add a future booking for that client.

4 different calendar views are available depending on device used.

How do my staff add bookings to the system?

Bookings can be made in the system inside a minute by a member of staff in the shop for walk-ins or telephone enquiries.

To save time as customer name is entered the system predicts and suggests names of existing customers. Click to select or complete a new registration quickly.

Click to select service, and/or preferred staff member and select preferred date and time.

Three alternative times are suggested, click to select and booking is made. This can be edited or deleted if required.

How do my customers make bookings?

Customers can make bookings 24/7 from home or office.

New customers register online, or an existing customer simply logs in.

The screen allows customer to click to select a service, and/or preferred staff member and selects a preferred date and time.

Three alternative times are suggested by the system and the customer simply clicks one of them to select it, and the booking is made. This can be edited or deleted in future if required.

Some of my older customers aren’t online - does this system work with non-online bookings, say if I needed to enter these manually myself?

You or your staff can enter telephone bookings or bookings from walk-ins to the system in only a minute or so.

How much does it cost to run a booking system?

The cost varies wildly from one system to the next. Most competitors base their prices on the number of staff you have, but their pricing structure is not always clear or sometimes even shown.

Our price is a flat monthly fee of £30.00 plus VAT.

Do you have extra charges?

Only one, Email confirmations and reminders to your customers are free of charge but understandably text messages cost a little money, they are about 2p each.

I have some people who work for themselves, but under the umbrella of my business. Who owns the data for bookings made for their time?

The bookings are made to your shop, your place of business. As such you are the data controller and the responsibility for the data is yours. We are the data processors and responsible for its security.

Do I need a website for people to use it?

No, the system can stand on its own two feet on the Internet, and if you do have a web site it is easy for you to link to your booking system from it.

Is it easy for customers to cancel appointments?

Yes, customers can cancel bookings remotely through the Internet or by telephone.

Increasing Sales

Can a booking system actually increase business?

At the time of making a new booking online or in the shop or on the phone, or when making a payment, the customer is encouraged to select their future appointments by being asked the normal period between bookings. This feature alone will bring you much new business in the future.
